Position Title: Executive Assistant to the County Executive

Salary: $60,000 per year

Minimum Requirements:
  • High School Diploma or equivalent AND (3) years of administrative support experience (i.e., managing correspondence, coordinating presentation materials, scheduling, file management, travel/event planning, etc).
  • A combination of relevant experience, education and/or training will be considered.
  • Experience working with executive leadership and/or within a high volume, high visibility organization or office is a plus.

Position Summary:

The executive assistant provides a high level of support to the County Executive. Responsibilities include scheduling meetings and events, gathering confidential briefings, administrative work, and special projects as assigned. The incumbent will report to the County Executive and work closely with the Chief of Staff, Special Assistant, and Office Manager.



Overview:


Duties:

  • Maintains confidentiality on highly sensitive information their work may involve.
  • Manages the County Executive’s calendar, including scheduling meetings and events.
  • Coordinates travel arrangements, including flights, hotels, transportation, and associated paperwork.
  • Ensures the County Executive is prepared for meetings and events, including preparing agendas and materials.
  • Drafts and sends correspondence, emails, and other communication on behalf of the County Executive.
  • Manage incoming phone calls, emails, and mail.
  • Attend occasional special events and parades.
  • Responds, prepares and tracks correspondence from constituents and other stakeholders.
  • Identifies and recommends improvements for administrative procedures.
  • Maintains office files and records.

Knowledge, Skills, and Abilities

Knowledge of:

  • Writing, editing, and coordination of presentation materials.
  • File management.
  • Scheduling.
  • Travel/event planning.

Skill in:

  • Microsoft Office Programs (Word, Excel, Outlook, and PowerPoint).

Ability to:

  • Establish and maintain effective and confidential working relationships with the County Executive, staff, and outside organizations.
  • Be highly organized with strong written and oral communication skills.
  • Work early mornings, weeknights, and weekends.
  • Meet scheduling and project deadlines
  • Learn new software and computer programs.

Residency: Allegheny County within 1 year.
