Position Title: Special Records Examiner

Salary: $32,173 - $37,440 per year

Minimum Requirements:

An Associate’s degree in business or a related field AND two (2) years of clerical and customer service experience in an office environment. Familiarity with the election process and Microsoft Office Suite are preferred. An equivalent combination of education and experience may be substituted.

 

Evening and weekend hours are required during election cycles.

 

It is the policy of Allegheny County that in order to receive a final offer of employment, candidates must successfully pass a background check, which includes verification of Allegheny County Real Estate Tax status, and drug/medical examinations as required for the position. The pre-employment drug screen must be completed within 48 hours of the acceptance of the conditional offer of employment.


Position Summary:

The Allegheny County Elections Division manages county voting policies and schedules all activities necessary before, during and after Election Day. This division conducts free and open elections as governed by law and strives to show a civil community transparency to all registered voters in Allegheny County. This position reports to the Manager of Ballots and Returns and is responsible for performing election petition clerical functions. Evening and weekend hours and travel to various sites within Allegheny County are required.



Overview:


Duties:

  • Distributes petitions, street lists, and other election information to candidates and the public.
  • Enters pertinent candidate data into ledger books.
  • Proofreads petitions and letters.
  • Conducts inventory quality control and reconciliation tasks.
  • Accurately stores election results by municipality, ward, and district.
  • Fields phone and in-person inquiries from the public.
  • Examines past election results by request.
  • Acts as Regional Center Supervisor on pre-election weekends and election evenings.
  • Performs other duties as required.

Knowledge, Skills, and Abilities

Knowledge of:

  • Federal, state, and local election laws and procedures.
  • Basic operations and various policies of the elections process.

Skill in:

  • Microsoft Office Suite.
  • Voting and elections programs and databases.

Ability to:

  • Work a flexible schedule including evenings, weekends, and overtime during election cycles.
  • Accurately perform detail-oriented tasks, file and ledger maintenance, with minimal supervision.
  • Proofread balloting information.
  • Perform research related to campaigns and nominees.
  • Effectively and efficiently manage time, tasks, deadlines, and multiple priorities simultaneously.
  • Maintain productive working relationships with staff, departments, external organizations, and the public.

Residency: Allegheny County within 1 year.
