$48,000-$55,000 per year

Minimum Requirements:
- High School Diploma or its equivalent AND,
- Four (4) years of general office experience.
- Experience working in an executive-level environment is strongly preferred.
- An equivalent combination of education, training, and experience is acceptable.

Position Summary:
This position reports to the Deputy Director and is responsible for a wide variety of clerical and administrative tasks performed with a high degree of confidentiality.
Overview:
Allegheny County Economic Development (ACED) is a dynamic, multidisciplinary economic development agency serving the citizens of Allegheny County. Through investments in various projects, including affordable housing development, land development, infrastructure development, business attraction and expansion, land use, and transportation planning, ACED maximizes regional economic growth, neighborhood vitality, and quality of life in its 130 municipalities. Duties:
- Manages calendars for the Deputy Director and assists with scheduling various meetings.
- Creates reports, presentations, correspondence, and other documents and materials.
- Prepares, maintains, and processes a variety of records, including vouchers and voucher requests, as directed.
- Enters purchase requests into the JD Edwards system and reconciles purchasing card statements for supplies purchased.
- Performs meter readings for copiers/fax and coordinates service/repair for all devices.
- Professionally greets all visitors to the Department and coordinates coverage for reception when away.
- Answers, responds to, and routes all incoming phone inquiries and emails.
- Screens the Department’s mail and distributes to appropriate parties.
- Receives and logs incoming checks that are mailed and/or hand-delivered.
- Scans correspondence and updates the department database as needed.
- Enters travel requests into the County’s OnBase system and processes travel reimbursement requests.
- Provides communications support by gathering and organizing data, assisting with updates to websites and other platforms, overseeing right-to-know request administration for assigned teams, and managing the preparation and maintenance of meeting minutes.
- Maintains accurate fleet vehicle documentation.
- Collects legal advertisement information from relevant teams and submits it to newspapers/publications as required.
- Performs other related duties/special assignments as they are assigned.
Knowledge, Skills, and Abilities
Knowledge of:
- Basic mathematical principles.
- Principles and practices of professional business writing and written communications.
Skill in:
- Microsoft Office Suite and JD Edwards.
- Acrobat Adobe.
Ability to:
- Develop/edit/proofread professional correspondence, reports, and other written materials.
- Communicate effectively both verbally and in writing.
- Exercise confidentiality as appropriate.
- Successfully meet all County and Department objectives in a timely fashion.
- Maintain a positive attitude.
- Be flexible in completing tasks.
- Establish and maintain effective working relationships with supervisors, associates, outside agencies, and the public.

- Adhere to Department/County policies and procedures while working under minimal supervision.
Residency:
Allegheny County within 1 year.
