Position Title: Transport Scheduler

Salary: $50,439.96 per year

Minimum Requirements:
  • A high school diploma or its equivalent.
  • One (1) year of experience in a receptionist or administrative assistant role.
  • An equivalent combination of education and experience may be substituted.

It is the policy of Allegheny County that in order to receive a final offer of employment, candidates must successfully pass a background check, which includes verification of Allegheny County Real Estate Tax status, and drug/medical examinations as required for the position. The pre-employment drug screening must be completed within 48 hours of acceptance of the conditional offer of employment. 


Position Summary:

Reporting to the Communications and Transportation Manager, the incumbent maintains organizational efficiency, ensuring tasks, appointments, and projects are executed smoothly and timely and resident transportation needs are met.



Overview:


Duties:

  • Schedules and confirms resident transportation, ensuring all parties are informed of changes or updates.
  • Maintains confidentiality of protected health information, including verbal, written, and electronic communications.
  • Assesses project or task duration, allocate staff or resources, and prioritize urgent needs.
  • Tracks progress against schedules, identify deviations, and implement corrective actions as needed.
  • Notifies relevant stakeholders of schedule changes, resolve conflicts, and provide reminders for upcoming tasks or appointments.
  • Maintains accurate records, update databases or Electronic Health Records (EHR) and/or Electronic Medical Records (EMS) systems; handles phone call and email inquiries.
  • Ensures schedules meet legal, safety, or organizational standards and generate reports on efficiency and resource utilization.
  • Participates in all life safety and emergency drills and trainings.
  • Performs other related duties as assigned or requested by the Communications and Tranposrtation Manager.

Knowledge, Skills, and Abilities

Knowledge of:

  • General office practices and procedures.

Skill in:

  • Microsoft Office Suite.
  • Electronic Health Records (EHR)
  • Electronic Medical Records Systems (EMS)
  • Scheduling software 

Ability to:

  • Demonstrate organizational skills, attention to detail, and the ability to prioritize tasks.
  • Communicate effectively, both orally and in writing, with staff, clients, and management.
  • Sit for long periods of time throughout the workday.
  • Assist in evacuation of residents during emergency situations.
  • Maintain a positive attitude and the ability to work in stressful situations.
  • Perform data entry.

Residency: Allegheny County within 1 year.
