Position Title: Executive Administrative Assistant to the Treasurer

Salary: $60,000.00 - $70,000.00 per year

Minimum Requirements:
  • High School Diploma AND four (4) years of full-time confidential administrative clerical experience, or
  • A Bachelor’s degree in Business Administration or Communications AND 1-3 years of relevant experience, or
  • An equivalent combination of education and experience may be substituted. 

Experience in project and event management is a plus.

Position Summary:

The Executive Administrative Assistant to the Treasurer is a highly confidential, administrative position that provides administrative support to the Treasurer. This position requires exceptional organizational skills, discretion, and the ability to manage multiple priorities in a fast-paced, public-facing environment. Work is performed independently or in accordance with instructions from the Director of Administration and Customer Service.

Duties:

Executive Support

  • Provides direct support to the Treasurer. Drafts and manages correspondence and communications, schedules appointments, manages calendar, and coordinates travel; submits and tracks reimbursements after travel.
  • Screens incoming calls, emails, and requests, and handles them when appropriate.
  • Maintains records and other documents and coordinates special events. Evaluates documents submitted for the administrator’s signature. 
  • Provides support for long-range planning and scheduling activities. 
  • Works with other administrative assistants to coordinate, schedule, and plan Investment and Depository Board meetings.
  • Plans for elected officials and other distinguished visitors, as well as potential employees visiting the Office and welcomes them. Assists with office functions and meetings hosted by the Leadership team.
  • Builds relationships with several county departments to ensure the achievement of the Treasurer’s Office vision, goals, and objectives.
  • Perform administrative tasks such as printing, scanning, and improving document formatting.
  • Occasionally attend external meetings or events with the Treasurer, providing on-site support and ensuring smooth coordination.
  • Serves as liaison and point of contact for the Treasurer and Leadership, as needed.
  • Records meeting notes, decisions, and action items, and distributes notes to relevant staff and/or stakeholders in a timely manner.

 Confidentiality and Discretion

  • Assists in the resolution of complex, highly sensitive, and confidential administrative matters.



Knowledge, Skills, and Abilities

Knowledge of:

  • Principles and practices of professional business office operations 

Skill in:

  • Proficient in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
  • Adobe Acrobat

Ability to:

  • Communicate effectively and professionally, both orally and in writing.
  • Work independently with little supervision and be reliable and dependable.
  • Work well as part of a team.
  • Multitask and prioritize workload.
  • Interact with the public in a professional, courteous, and mature manner.
  • Exercise good judgment and tact in giving/obtaining information.
  • Operate telephones, computers, copiers, and printers.
  • Proofread documents.
  • Lift up to 35 lbs.
