Salary: $47,571 - $57,571 per year commensurate with experience

Minimum Requirements:
  • A Bachelors degree AND two (2) years of experience in event planning/coordination, marketing, or a related field are required.
  • An equivalent combination of education and experience may be substituted.
  • Availability to work evenings and weekends is required.
  • Supervisory or staff leadership experience preferred.

A current, valid PA Driver's License is required. Travel to various sites within Allegheny County will be required.

 Act 33/34 Clearances are required prior to appointment.

Position Summary:

The Venue Manager reports to the Chief Marketing Officer and is responsible for promoting and managing weddings, receptions, showers, meetings and other events at Hartwood Acres Mansion, Hartwood Acres Stables, Allegheny County Courthouse, Family Courthouse Courtyard, County Office Building, and other County-owned facilities. The incumbent is responsible for creating strategic partnerships to increase the marketability of County facilities and to enhance events held at those facilities. Due to the nature of the work, this position requires initiative, creativity, the ability to be flexible and organized, as well as excellent communication, marketing, social media, public relations, and customer service skills.



Overview:

The Office of Marketing and Special Events raises public awareness of County services, projects, events, activities, and initiatives through proactive marketing, advertising, and social media efforts. The Office is responsible for producing a wide array of high-quality cultural, artistic, and special events to enhance the quality of life in Allegheny County.


Duties:

  • Manages and trains the Venue Coordinators, interns, and seasonal event staff to ensure adequate on-site coverage, staffing and customer service for all events including setup and breakdown; event logistics; troubleshooting; and relationships with vendors, clients, caterers, event rental companies, and County Departments and staff.
  • Oversees administrative functions related to venue rentals including preparing, executing, and monitoring contracts and agreements; preparing and issuing invoices; and working with relevant County Departments to schedule appropriate staff for events.
  • Promotes Hartwood Acres Mansion, Hartwood Acres Stables, Allegheny County Courthouse, Family Courthouse Courtyard, County Office Building, and other County-owned facilities as premier event venues through multiple marketing platforms, including digital, print, radio and trade/bridal shows.
  • Establishes and maintains relationships and partnerships with hospitality, catering, entertainment, event rental companies, and other vendors, as well as meeting, convention and event planners, to enhance events and increase facility rentals.
  • Ensures prompt and professional responses are provided to all potential clients and serves as a point of contact for potential clients and vendors including answering questions and showing venue space.
  • Schedules events at County-owned venues.
  • Coordinates motion picture and television production filming on County-owned property.
  • Performs other duties as required.

Working Conditions and Physical Abilities:

  • Exposure to moderate levels of office noise including at venues (constant or intermittent sounds or a high-pitch or level sufficient to cause distractions).
  • Required to sit, use hands, fingers, handle, or feel, stand, walk, reach with hands and arms, talk or hear.
  • Occasional exposure to weather conditions (hot, cold, humid, and windy).
  • Non-weather related cold/hot temperature exposure.
  • Lift and/or move up to 50 pounds occasionally.
  • Required to work evenings and weekends.
  • Travel to various sites within Allegheny County.

Residency: Allegheny County within 1 year.
