Minimum Requirements:
  • An Associate degree in Legal Studies or a related degree AND two (2) years of management/supervisory experience which includes data entry experience, or
  • An equivalent combination of education and experience may be substituted.

Position Summary:

Reporting to the Division Manager, the Supervisor in the Department of Court Records is responsible for overseeing the daily operations and personnel involved in managing and maintaining official court records. This position ensures accuracy, security, and timely processing of legal documents while supporting court proceedings, attorneys, government agencies and the public.



Overview:

The Department of Court Records is responsible for receiving, docketing, indexing, and preserving documents in all cases for the Court of Common Pleas of Allegheny County.


Duties:

  • Coordinates and supervises the work of Court Records’ employees to ensure that all filings are being processed in a timely manner.
  • Monitors overall attendance, to include lunch and break time.
  • Works in conjunction with other supervisors/managers.
  • Performs clerical duties as needed (e.g., data entry, court filings, customer service).
  • Implements and oversees quality control standards.
  • Performs other related work as requested or required.

Knowledge of:

  • Government policies and procedures regarding court filings
  • Principles, practices, and techniques of employee supervision

Skill in:


Ability to:

  • Learn the Department of Court Records’ procedures pertaining to Court filings
  • Communicate well both orally and in writing
  • Establish and maintain working relationships with supervisors, co-workers, and others within and outside the County
  • Supervise multiple employees
  • Perform accurate data entry 
  • Multi-task when needed

Residency: Allegheny County within 1 year.
