Minimum Requirements:
- A high school diploma or its equivalent AND four (4) years of full-time clerical experience, to include the use of Microsoft Office products, or
- An equivalent combination of education and experience may be substituted.
Desired Qualifications:
- Candidates who meet the above requirements AND have a related associates degree.

Position Summary:
Under the supervision of the Financial Manager, this position is responsible for serving as an intermediary for department heads while carrying out administrative duties. The incumbent acts with authority on office management functions and has the responsibility for the conduct of varied public contact. Work is performed independently or in accordance with oral or written instructions from the Director, Deputy Director or Financial Manager.

Duties:
- Monitors daily front office operations.
- Processes and logs incoming and outgoing mail.
- Performs word processing of all types of documents and correspondence as directed.
- Develops and maintains spreadsheets as required.
- Manages the dissemination of official approved documents, such as letters, memos, Executive Actions, Contract Change Orders, and similar approvals to appropriate staff.
- Handles complaints, problems and service requests from the public as needed.
- Channels and properly dispenses inquiries received both internally and externally.
- Scheduling and coordination of appointments and meetings in Microsoft Outlook.
- Provides administrative support to Public Works employees, visitors and other Divisions as needed on special projects.
- Oversees, troubleshoots, and operates all necessary office equipment (computer, printer, fax machine, scanner, shredder, telephone console, etc.).
- Manages office related projects as directed.
- Performs other related duties as required or requested.
Knowledge, Skills, and Abilities
Knowledge of:
- Advanced clerical and organizational skills.
- Proper use of office equipment. (copier, scanner, shredder, telephone console, etc.)
Skill in:
- Microsoft Office Software (Word, Excel, PowerPoint, Outlook, Access, Teams)
Ability to:
- Adhere to confidentiality policy and guidelines.
- Compose correspondence with only general oral instruction.
- Interact and exchange information professionally with supervisors, co-workers, contractors, consultants, governmental entities, and others.
- Work independently and as part of a team.
- Effectively meet deadlines and prioritize assignments with the ability to multitask.
- Communicate effectively, both verbal and written.
Residency:
Allegheny County within 1 year.
