Minimum Requirements:
- A high school diploma or equivalent AND one (1) year of related experience in inventory control or materials management.
- An equivalent combination of education and experience may be substituted.
- Experience with large quantity inventory and experience directing the work of others is preferred.

Position Summary:
Under the supervision of the Clinic Manager, the Medical Supply Clerk is responsible for processing receipts/invoices and placing orders for medical supplies. The position primarily ensures accurate and prompt processing of payments to vendors for services, supplies, materials, and equipment provided to the Allegheny County Jail Healthcare Unit. Additionally, the Medical Supply Clerk provides administrative clerical support and performs duties associated with all operational areas of the Healthcare Services Department. The assigned work schedule may include shifts ranging from a start time of 6:00 a.m. to 5:00 p.m., including weekend hours as needed.
Overview:
Duties:
- Processes requisitions, invoices, and receipts for services, supplies, materials, equipment, etc., to be paid in accordance with contracts and amendments.
- Confirms prices on invoices and requisitions against contracts, pricelists, and catalogs to ensure proper payment taking necessary action to correct invoicing errors.
- Prepares and fills requisitions according to quantities ordered and delivers goods in accordance with policies and procedures, filing requisition requests accordingly.
- Works with various supervisors of the Healthcare Department, Procurement, or other appropriate departmental contacts and outside vendors, exchanging pertinent information with appropriate partners and responding promptly to written and verbal inquiries.
- Verifies invoices, purchase orders, and packing slips with incoming merchandise to ensure that quantities are accurate and notifies appropriate staff when special orders have arrived.
- Authorizes equipment or damaged items to be returned and prepares items for shipping.
- Maintains updated inventory records when receiving/ issuing supplies and equipment. Reorders items in accordance with established procedures, including par levels. Analyzes data to forecast future supply needs.
- Performs other duties as required or requested.
Knowledge, Skills, and Abilities
Knowledge of:
- Accounts payable processes.
- Inventory management principles, practices, and procedures.
- Professional business office principles, practices, and procedures.
- PA Title 37, NCCHC, and the American Correctional Association standards.
Skill in:
- Microsoft Office products.
- Electronic Health Care Record preferred.
Ability to:
- Work flexible hours including shifts ranging from a start time of 6:00 a.m. to 5:00 p.m. and weekends as needed.
- Process large volumes of invoices, package slips, and supplies in an accurate and timely manner.
- Maintain strict confidentiality of information and records.
