Salary: $37,440- $42,848 per year commensurate with experience

Minimum Requirements:
  • High school diploma or its equivalent AND two (2) years of experience performing administrative and general office/clerical functions. Payroll experience preferred.
  • An equivalent combination of education and related experience may be substituted.

 

Act 33/34 clearances are required prior to appointment at the cost of the applicant.

Position Summary:

Under the supervision of the Payroll Manager, the Assistant Business Coordinator- Payroll is responsible for processing employee time and attendance. The incumbent primarily ensures accurate and prompt processing of attendance including but not limited to regular time, overtime, vacation, sick, and personal holiday time for all employees of the Allegheny County Jail, including the Healthcare Unit. Additionally, the Assistant Business Coordinator- Payroll provides administrative clerical support and performs duties associated with all operational areas of the Allegheny County Jail. The assigned work schedule may include shifts ranging from a start time of 6:00 a.m. to 5:00 p.m. including weekend hours and occasional holidays.



Overview:


Duties:

  • Updates the timekeeping system daily, corrects missed punches and enters leave time (i.e. sick, FMLA, vacation, etc).
  • Liaises with employees and answers inquiries regarding time keeping or payroll concerns.
  • Maintains and tracks confidential documents related to personnel leaves and absences including medical documentation, workers compensation reports, and medical/leave requests.
  • Collaborates with the Controller's Office to resolve payroll issues and initiates special payment requests.
  • Tracks employee hours, reviews missed work documentation, and sends correspondence to employees regarding FMLA leave of absences.
  • Responds to county HR and other departments concerning salary/wage inquiries for unemployment and workers compensation claims.
  • Performs other related duties as requested or required.

Knowledge, Skills, and Abilities

Knowledge of:

  • Standard office practices and procedures including filing, record keeping, proofreading, etc.
  • Accrual processing.
  • Professional business office principles, practices, and procedures.
  • Office equipment including computer, calculator, copier, fax, etc.
  • Payroll processes a plus.

Skill in:

  • Microsoft Office programs (Word, Excel, Access, Outlook).
  • Timekeeping systems a plus.

Ability to:

  • Work flexible hours including shifts ranging from a start time of 6:00 a.m. to 5:00 p.m.
  • Work weekends and holidays on an as-needed basis to meet deadlines.
  • Process large volumes in an accurate and timely manner.
  • Maintain strict confidentiality of information and records.
  • Demonstrate strong problem-solving skills.
  • Communicate effectively, both orally and in writing.
  • Learn and effectively utilize systems and software as required.
  • Understand and follow oral and written instructions.

Residency: Not required to live in Allegheny County
