$37,440- $42,848 per year commensurate with experience

Minimum Requirements:
- High school diploma or its equivalent AND two (2) years of experience in administrative services and general office/clerical functions.
- An equivalent combination of education and related experience may be substituted.
Act 33/34 clearances are required prior to appointment at the cost of the applicant.

Position Summary:
Under the supervision of the Administrative Business Office Manager, the Assistant Business Coordinator is responsible for providing administrative and clerical support to all operational areas of the Allegheny County Jail. The work performed is highly confidential and sensitive, requiring significant attention to detail. The assigned work schedule may encompass various 8-hour shifts beginning anytime between 8am and 4pm including occasional weekend hours.
Overview:
Duties:
- Compiles and documents "Right to Know" requests and assembles documents from departments or agencies.
- Manages employee files and related business documents.
- Reviews records for quality control purposes and uploads records for retention.
- Assists Human Resource Manager with the review of employee files and work products for non-compliance reviews.
- Answers and routes telephone calls, takes messages, offers follow-up calls, responding promptly to written and verbal inquiries.
- Complies subpoena requests for records.
- Assists incarcerated individuals’ family members, attorneys, law enforcement agencies, etc. by providing basic inmate information while adhering to Allegheny County Jail (ACJ) policies.
- Assists with investigations as directed by the Administrative Business Office Manager or the Deputy Warden of Administrative Services and Employee Development.
- Maintains confidentiality according to the Confidentiality and ACJ policy and procedure.
- Types reviews, edits, and proofreads reports and documents.
- Collects, enters, and indexes data for personnel files and incarcerated individuals' records.
- Provides research assistance, collates, formulates, and exchanges information with appropriate partners, disseminating information as directed.
- Makes process improvement recommendations to the Administrative Business Office Manager.
- Assists the Administrative Business Office Manager with covering other office duties during vacations and short-staff situations and daily business office duties.
- Performs additional duties as required or requested.

- Record retention and disposition.
- Standard office practices and procedures including filing, record keeping, proofreading, etc.

- Professional business office principles, practices, and procedures.
- Office equipment including computer, calculator, copier, fax, etc.
- Inventory management principles, practices, and procedures.
Skill in:
- Microsoft Office programs (Word, Excel, Access, Outlook).

- Work flexible hours including shifts ranging from a start time of 8:00 a.m. to 4:00 p.m. and occasional weekends.

- Stand for long periods.
