Position Title: Coordinator Special Records

Salary: $37,440 - $38,972 per year

Minimum Requirements:
  • High school diploma or equivalent.
  • An equivalent combination of education and experience may be substituted.

Position Summary:

Under the supervision of the Manager of Balloting and Returns, this position is responsible for performing various clerical and customer service duties pertaining to election petitions.



Overview:

The Allegheny County Elections Division manages county voting policies and schedules all activities necessary before, during, and after Election Day. This division conducts free and open elections as governed by law and strives to show a civil community transparency to all registered voters in Allegheny County.


Duties:

  • Distributes petitions, street lists, and election information to interested candidates.
  • Enters all pertinent candidate data into ledger books and candidate database.
  • Proofreads all petitions, ledgers, and candidate database to ensure accuracy.
  • Forwards sample ballots to each office seeker.
  • Provides assistance in processing absentee ballots by coding pertinent information.
  • Issues and mails candidate certificates.
  • Provides customer service via in-person and by telephone.
  • Serves as a member of the return board by verifying machine counts.
  • Acts in the capacity of Regional Center Supervisor the weekend prior to all elections and on election nights.
  • May participate in other special projects and/or performs additional duties as assigned.

Knowledge, Skills, and Abilities

Knowledge of:

  • Working knowledge of the policies and procedures of the election process.
  • Prior supervision or coordination experience preferred.  

Skill in:

  • Microsoft Office Suite.

Ability to:

  • Provide courteous customer service in person and via telephone.
  • Be detail-oriented.
  • Work overtime and off-hours during election cycles.
  •  Meet deadlines.
  • Work independently and as a team member with staff and contracted employees.
  • Multi-task effectively.
  • Work efficiently in a fast-paced environment.

Residency: Allegheny County within 1 year.
