Position Title: Contract Coordinator

Salary: $50,000 - $55,000 per year

Minimum Requirements:
  • High school diploma or equivalent AND five (5) years of experience in project support and coordination within Public Administration, Business, Finance, or a related field. 
  • An equivalent combination of education and experience may be substituted (i.e., a related Bachelor’s degree may be substituted for four years of experience in planning, coordinating, managing, and evaluating programs).
  • A Bachelor’s degree in Business or a related field and knowledge of Allegheny County’s procurement, proposal, and contracting process are preferred.

Position Summary:

Under the direction of the Compliance Manager for the Department of Children Initiatives (DCI), the Contract Coordinator is part of a collaborative team responsible for developing, coordinating, and monitoring the compliance of contracts associated with DCI’s funding opportunities in the early learning and out of school time sectors.



Overview:


Duties:

  •  Develops systems and processes for contract creation, distribution, management, monitoring, and reporting.
  • Prepares, assembles, distributes, and monitors various forms and documents.
  • Performs quality control and assurance reviews of funding opportunity documents before advertisement, including standard special provisions, insurance requirements, bonding requirements, and other standard contract language.
  • Acts as a point of contact for other Departments when partnering to issue funding opportunities and developing contracts.
  • Drafts and processes contracts as necessary.
  • Maintains agreement, contract, and insurance files.
  • Processes change orders for contracts and agreements.
  • Provides documentation support for routine audits.
  • Performs other related duties as required or requested.

Knowledge, Skills, and Abilities

Knowledge of:

  • Contract management and procurement principals.
  • Business administration, accounting, and insurance.
  • Docusign signature process a plus.

Skill in:

  • Microsoft Office applications, including Word, Excel, PowerPoint, Teams, etc.

Ability to:

  • Communicate effectively, both orally and in writing.
  • Establish and maintain effective working relationships with grantees and colleagues.
  • Work quickly and accurately.
  • Learn and become familiar with the necessary IT systems and related databases.
  • Efficiently and accurately manage several projects simultaneously, each with several different tasks.
  • Review and analyze processes and adjust as necessary to ensure Department efficiency and accuracy.

Residency: Allegheny County within 1 year.
