Minimum Requirements:
- High school diploma or its equivalent and two (2) years of clerical and data entry experience.
- Payroll and/or order processing experience is preferred.
- An equivalent combination of education, training, or experience is acceptable.

Position Summary:
This position under the supervision of the Parks Financial Manager, will assist the Parks Financial team with various finance and administrative-related processes and procedures, including a critical role assisting with the Parks Department’s payroll.
Overview:
Duties:
- Manages the upload of seasonal hours into the payroll system and confirms accuracy.
- Assists the Payroll Manager with balancing payroll for closeout.
- Assists the Payroll Manager entering hours for full-time employees, following all necessary bargaining unit agreements.
- Pulls salary totals for various sites and projects as requested.
- Verifies calculations on all types of overtime to insure employees receive proper compensation in accordance with collective bargaining agreements and federal law.
- Reviews time records for completeness and accuracy, contacts individual supervisors to discuss or correct any anomalies, and enters data from exception logs.
- Resolves payroll discrepancies and answers any payroll inquiries.
- Performs a variety of clerical tasks including, but not limited to, answering telephone calls and email inquiries, filing, data entry, and general office duties.
- Enters purchase orders for various supplies and materials and distributes approved purchase orders to staff for ordering.
- Contacts vendors as necessary to receive quotes or other information.
- Assists with inventory tracking and generates related reports as needed.
- Assists fiscal staff entering invoices as needed.
- Processes new vendor creation forms.
- Monitors vendor contracts for expiration and modifications and assists with creating new ones.
- Assists with preparation of the department’s annual budget.
- Maintains confidentiality of all data processed.
- Performs related work as required.
Knowledge, Skills, and Abilities
Knowledge of:
- General office practices and procedures
- Provisions of collective bargaining agreements relating to calculation of leave, overtime, and shift differentials.
- Federal and state laws relating to payroll.
Skill in:
Ability to:
- Operate office equipment, i.e., computer, fax, and copy machines.
- Learn new software.
- Type accurately and enter data with great attention to detail.
