Position Title: Legal Secretary

Salary: $18.8114 per hour

Minimum Requirements:

High school diploma or its equivalent AND two (2) years’ experience typing legal documents including motions, briefs, etc. or related experience OR an Associate’s degree in Office Administration, Business, or related field. An equivalent combination of education and experience may be substituted.

Candidates who have demonstrated commitment to working with diverse communities, have experience in a law office setting, are familiar with the court system, have practical experience in trials, mental health, appeals, capital cases and related areas, have proficient computer skills and knowledge of Microsoft Office (Excel, Word, Outlook, etc.) are preferred.

It is the policy of Allegheny County that in order to receive a final offer of employment, candidates must successfully pass a background check, which includes verification of Allegheny County Real Estate Tax status, and drug/medical examinations as required for the position. The pre-employment drug screen must be completed within 48 hours of the acceptance of the conditional offer of employment.

Duties:

  • Enters case data into manual and computerized database systems (Legal Edge).
  • Prepares accurate and timely transcription of handwritten and dictated materials, such as correspondence, interviews, memoranda, pleadings, and briefs.
  • Completes case-related forms.
  • Proofreads and corrects prepared materials for correct grammar, spelling, punctuation, format, syntax, and content.
  • Performs a wide variety of filing tasks, including opening and closing files, obtaining and organizing materials in files, and assuring that files are timely delivered to attorneys and promptly transferred between divisions as a case progresses.
  • Generates reports using statistical data drawn from handwritten and computerized information.
  • Answers phones and timely delivers messages to attorneys and other staff.
  • Prepares forms reflecting attendance in a timely fashion.
  • Maintains the confidentiality of case information.
  • Adheres to all policies and procedures of the Office of the Public Defender.
  • Performs other related duties and clerical functions as required or requested.

 


Knowledge, Skills, and Abilities

Knowledge of:

  • Basic PC operations including Microsoft Word, Excel, Windows, and database systems (Legal Edge)
  • General office practices and procedures including filing, record keeping, proofreading, etc.

 


Skill in:


Ability to:

  • Type 45 WPM
  • Use standard office equipment including personal computer, typewriter, photocopier, fax machine, and dictating equipment, etc.
  • Communicate effectively orally and in writing

 


Residency: Allegheny County within 1 year.
