Position Title: Staffing Specialist

Salary: $44,133.48 per year

Minimum Requirements:

A high school diploma or its equivalent AND one (1) year of experience in staffing or scheduling, maintaining payroll records, or a related field. An equivalent combination of experience and education may be substituted. 

Applicants who meet the above requirements and have prior scheduling experience in long term care, understanding of Kronos software, NovaTime software and/or experience in dealing with agency staffing are preferred. 

It is the policy of Allegheny County that in order to receive a final offer of employment, candidates must successfully pass a background check, which includes verification of Allegheny County Real Estate Tax status, and drug/medical examinations as required for the position. The pre-employment drug screen must be completed within 48 hours of the acceptance of the conditional offer of employment.


Position Summary:

The incumbent assures the day-to-day coordination of nursing service employee work schedules by meeting standards set by state and Federal regulation, ensuring the daily staffing quota for each unit, and factoring in the variable staffing needs occasioned by a change in patient conditions.



Overview:


Duties:

  • Develops and posts monthly staff work schedules in accordance with state and federal regulations.
  • Monitors employee requests adhering to timeliness of union contracts and availability of time.
  • Prepares weekly report indicating minimum staffing needs and actual personnel as directed.
  • Communicates to nursing supervision all incidents of time abuse.
  • Monitors and records call offs, no shows, etc.
  • Submits information pertaining to vacant nursing positions biweekly to Director of Nursing/Assistant Director of Nursing per classification, unit, and shift.
  • Reviews each unit’s staffing schedule monthly with appropriate supervisor.
  • Prepares and reports monthly staffing report for all nursing care hours.
  • Maintains daily staffing sheets, reports any staffing issues to the Director of Nursing/Assistant Director of Nursing immediately.
  • Monitors agency cooperation, hours and staffing concerns; verifies and reports agency bills monthly or as requested.
  • Ensures that that all pre-employment requirements including medical screenings, background checks and current licenses are on file for all agency personnel.
  • Ensures that all personnel have participated in new-employee orientation.
  • Maintains and updates the employee contact list.
  • Prepares reports for nursing care hours as required by the fiscal office.
  • Maintains an overtime list and assures rotation per union contract.
  • Generates and maintains vacation schedules annually per union contract and monthly as schedules are prepared.
  • Performs related tasks and duties as assigned or directed by the Director of Nursing.
