Minimum Requirements:
- High school diploma or its equivalent AND one (1) year of administrative or secretarial work experience in a law office or law department.

Duties:
- Answers the telephone and responds to inquiries or directs the caller to appropriate staff.
- Greets Law Department guests.
- Opens mail and performs data entry for the Law Department Mail Logging Procedure.
- Types, files, and performs all general secretarial duties as well as those requiring specialized legal knowledge.
- Prepares and assembles legal pleadings, reports, opinions, briefs, correspondence, and other functions related to the Law Department.
- Makes appointments, schedules meetings, and advises attorneys of appointments and deadlines.
- Maintains logs and files of all cases and contracts, files documents (written and electronic) with the Department of Court Records and various Courts of Record, handles miscellaneous office matters assigned from time-to-time by the Legal Administrator.
- Establishes and maintain paperless case files by scanning and organizing electronic documents.
- Enters required case information and scanned documents into law department data base.
- Performs other related duties as required or requested.
- Oversee the scheduling of approximately ten attorneys.
Knowledge, Skills, and Abilities
Knowledge of:
- Computer functions and applications.
- General office practices and procedures including filing, record keeping, proofreading, etc.
Skill in:
Ability to:
- Learn and understand specialized legal terminology and procedures.
- Use case management software, such as “HighQ”.
- Learn new computer systems and applications as required.
- Communicate effectively, both orally and in writing.
- Establish and maintain effective working relationships with others.
Residency:
Allegheny County within 1 year.
